INSTRUCTIONS FOR REIMBURSEMENT OF EXPENSES - FUNDING FOR TRAVEL AND ACCOMMODATION COSTS
(only if the applicant is entitled)
The University of Macerata will provide reimbursement for travel and accommodation expenses.
Please note that the reimbursement will be paid only if the selected applicant, entitled to get this additional funding, has actually:
- attended the Masterclass MSCA@UNIMC 2026 (at least 75% of the total hours – see art. 3 of the announcement for additional details*);
- prepared the first draft of the proposal by using the template foreseen by the EU Commission for the call for proposal MSCA Postdoctoral fellowships – year 2026 (Part B1 - maximum length 10 pages).
The maximum contribution for travel and accommodation costs is € 1.200,00 per participant.
Travel costs
As a general rule, we will cover travel costs sustained from your residence place to Macerata and return only if you have used public transport. Taxi/rental car will be reimbursed only if public transports were not available. In this case proof of evidence shall be provided to the International research, Project design and Open Science Office. Visa-related expenses are also eligible for reimbursement.
Accommodation costs
We will cover accommodation costs related to your stay starting on 7th June and ending on 13th June 2026 (i.e. check in 07.06.26 – check out 13.06.26).
Lunches during the training course days (from 8th to 12th June) will be offered by the University of Macerata in a restaurant in the city center.
In order to get the reimbursement of travel and accommodation costs, we kindly ask you to send the following supporting documents to ricerca.internazionale@unimc.it:
- Refund request with list of expenses (to be made using the specific template);
- Scan of invoices or other documents certifying the expenses incurred (e.g. purchase of plane ticket, boarding pass, train/bus ticket, hotel receipt etc.), and evidence of their related traceable payment (e.g. bank transfer, credit card, and other types of electronic payment);
- First draft of the proposal (by using the template foreseen by the EU Commission for the call for proposal MSCA postdoctoral fellowships - year 2026 – Part B1 - maximum 10 pages).
Please note that, based on Italian national regulations, we can only refund expenses paid using traceable methods; otherwise, we will not reimburse them.
The transfers will be made in euro. In the case of a bank account in a foreign currency, the exchange rate will be the one operated by the banking institution. Currency exchange losses will not be refunded.
* For the sake of clarity, in order to calculate the actual attendance of 75% of the total hours of the Masterclass, the following rules shall apply:
- Applicants must attend at least 75% of the total hours (as indicated in the final agenda) of the online training (live lessons) scheduled for the first part of the Masterclass.
- Applicants must attend in person at least 75% of the total hours (as indicated in the final agenda) of the training held in Macerata, scheduled for the second part of the Masterclass.
Fractions of attendance hours for each participant up to 45 minutes will be rounded down, while fractions of hours from 45 minutes up will be rounded up.
